Factors affecting report preparation

i). Purpose- is the tenacity of the report made clear.

 ii). Information- ensures that the report gives all the data needed by the terms of reference.

 iii). Introduction- ensure the starter explains the scope and limitations of the report. 

 iv). Accuracy- to ensure that all statements are valid. 

 v). Structure- the subject should be organized in a suitable and logical sequence, and the sentences are clear.

 vi). Style- the report should be free of haughty phrases and clichés while embracing a positive approach and not a negative. 

 vii). Display- the report should be free of grammatical errors, and the terms used should be simple.

 viii). Language- the report should use simple and understandable language as a channel of communication. 

Methods of Report Presentation 

a). Written Reporting- Written reports are in form of manuals, letters, or circulars. Written reports are kept as legal documents for future reference. For instance, formal financial statements are presented through written reporting. Thus, it is an ideal way of transmission. 

b). Graphic Reporting- Graphic reports are presented in the form of diagrams, charts, and pictures. For example, bar charts present data on labor-turnovers. Hence, graphic reporting removes confusion and dullness. 

c). Oral Reporting- Oral reporting is used in group meetings and conversations with individual persons. The method embraces the use of word of mouth asserted verbally. It should be noted spoken words always leave a better impact than written ones.
